GSTR 1 Report: Detailed overview and guide
In this tutorial, we'll walk you through the process of accessing and downloading the GSTR1 file report using Cleartax's GST software. This step-by-step guide ensures you're equipped to manage your GST compliance effectively and efficiently through the Cleartax platform. By the end of this tutorial, you'll know how to generate, view, and understand the GSTR1 report and its associated details.
Launch Cleartax GST software from the Compliance Cloud launchpad. This is your starting point for accessing all GST-related functionalities.

Scroll down to the Filed Returns section. Here, you'll find the GSTR1 report listed among other categorized options. Select the GSTR1 report to proceed.

From the dropdown menu, choose the business entity for which you want to generate the report. This ensures the report is specific to the selected business.
Select the time period for the report. You can choose a financial year or a specific return period, depending on your requirements.
Once you've set the business and time period, click Generate Report. This action initiates the download process for the GSTR1 report corresponding to the selected period.

If OTP authentication is activated, the system will automatically fetch data from the government portal. After the report is generated, you'll see a section-level summary under the report section. This summary lists all invoices. For a detailed view of individual documents, navigate to the specified option.
Here's how to explore and understand the invoice details in the interface:
View all invoices along with key parameters like the GSTN of your client, document type, and filing status. These details help identify whether the document is an invoice, credit note, or advance receipt.

Examine item-level details to understand specific entries for each transaction.
Check the document type under the section name. This section indicates whether the document is categorized as B2B, B2C, large B2B, or an amendment.

Under the subsection name, identify the document category, typically marked as 'R' for regular customers.
Look for the GSTN or UIN of the recipient to verify the GST number of your customer.
Review the recipient's name and additional details like document number, document date, and reverse charge applicability. Reverse charge is marked as 'Y' for applicable and 'N' for not applicable.
Observe the document value, which represents the total amount of the invoice or credit note.

Note the tax rate applied to the transaction.
Check the taxable value and the total tax amount, including IGST, CGST, and SGST.
If the document has been amended, the original details section will display the original document number and date.

For amendments, view the updated document details to track changes.
For documents processed through E-invoicing, check the IRN number, IRN generation date, and source under E-invoice details.
Review the aggregate summary for an overview of invoices. This includes the number of documents, total line items, total taxable amount, and total document value.
To customize the view, click Show or Hide Columns. This lets you manage the visibility of multiple columns, tailoring the interface to your preferences.
To tailor your document view to your specific needs, start by removing any columns that aren't relevant. This ensures you're only focusing on the data that matters most to you. For instance, if certain columns like "Amendment Type" or "Place of Supply" aren't necessary for your analysis, remove them to declutter your view.

Refine Document View with Filters
Use the filter options to further refine your document view. Filters allow you to narrow down the data based on specific criteria. Choose from a variety of filters such as:
- Period: Select a specific time frame for the documents. - Document Type: Focus on invoices, credit notes, or other document types. - Section Name and Subsection: Drill down into specific sections of your data. - Receivers and GSTN Receiver's Name: Filter by the recipient's details. - Amendment Type: Identify documents with amendments. - Document Number and Date: Locate specific documents by their unique identifiers. - Reverse Charge Applicability: Highlight documents where reverse charge is applicable. - Filing Status: Check the filing status of documents. - Place of Supply: Focus on transactions based on their place of supply.
These filters help you pinpoint the exact data you need, making your analysis more efficient.

Access Summary Sections
Navigate to the summary sections to view categorized details such as:
- GSTN Return Period: The time frame for which the return is being filed. - Filing Status: Indicates whether the return is filed, pending, or in progress. - Section Name and Subsection: Organized data for easier navigation. - Place of Supply: Details on the location of the supply.
These categorized summaries provide a structured view of your data, making it easier to review and verify.

Examine additional details like the Taxable Amount to ensure accuracy in your data. This step is crucial for verifying the correctness of the taxable values before finalizing your reports.

Revisit Column Customization, If needed, revisit the column customization step to remove any additional columns that may no longer be necessary. This flexibility allows you to adapt your view as your requirements evolve.
View the document Series summary for a quick overview of the information displayed on the UI. This summary provides a concise snapshot of the data, making it easier to understand the key points.

For a deeper dive, click on Insights. This section offers a comprehensive document-level analysis, giving you detailed insights into your GSTR1 filings.

To download the GSTR1 file in PDF format, navigate to the designated section. This allows you to save and review the document offline.
