GL Stream Overview: Navigating Data Browser & General Ledger Features

In this tutorial, you'll learn how to effectively use the data browser within the GL Stream product. You will understand the kind of views you can build with Data browser filter capability.

Understand the GL Stream product

GL Stream has two main sections: Data browser and GL reconciliation.

In the data browser, you'll see a trial balance at a GL code level for a specific period, showing the debit and credit recorded for that period.

Navigate to the Trial Balance

If all GL transactions are correct, the debit minus credit should equal zero. This indicates that your vouchers are balanced and all data related to your vouchers is within the GL artifact.

Use the filter option

The filter option lets you view data for a specific company code and period.

For example, filter data for company code CPX1 for the period of July 2024.

After applying the filter, you'll see the data for this period. If the debit and credit totals equal zero, it means the vouchers for this period are balanced.

You can use 'AND' or 'OR' filters

Typically the standard table views that you see in our product are default 'AND' however with data browser you have the flexibility to choose 'OR'. Typical use case would be

If you are looking for a set of documents that belong to particular Business Place 'X' or Profit Center 'Y'

Save Filters

If you frequently use a specific filter, save it for future use.

For instance, save a filter as "trial balance for July for CTX1" and reuse it later.

Use saved filters

When you return to GL Stream and go to the trial balance view, you'll see your saved filter.

Click on the saved filter to apply it.

Explore the general ledger view

The General ledger view is a table displaying all relevant information about the accounting / GL data.

Use the same filter features as in the trial balance view.

Sort the table

Sort the table by company code, voucher number, or voucher date. Look for the small arrow icon in the column header.

Initially, the table is sorted in ascending order

Clicking the arrow icon sorts it in descending order.

Clicking the icon again removes the sort. To reapply sorting, click the icon again.

Download data

Download data by clicking Actions. If the data exceeds a million rows, it's split into multiple files.

Customize columns

Show, hide, or reorder columns by clicking Actions and selecting Show/Hide Reorder Column.

Choose column names to show or hide.

Reorder columns by dragging them to the desired location.

Sort multiple columns

To sort multiple columns, click Actions and select SORT.

Add, delete, or prioritize sort options. Select column names and choose ascending or descending order.
