Generating E way bill and E invoice Together

In this tutorial, you'll learn how to efficiently manage invoicing and e-way bill processes using Clear Tax. We'll guide you through data ingestion and various workflow scenarios, including simultaneous invoice and e-way bill generation.

Navigate to the Homepage and Access Import Settings

Start by heading to the invoicing and e-way bill homepage on Clear Tax. This is your central hub for managing these processes. Locate and access the Import Settings section. Here, you'll find the necessary templates required for generating documents.

Select the Appropriate Template

Within the Import Settings, you'll encounter two essential templates:

- Template 1: Designed for generating invoices and e-way bills simultaneously. - Template 2: Specifically for generating e-way bills only.

Choose the template that aligns with your workflow requirements.

Prepare Your Data for Simultaneous Generation

For this scenario—simultaneous invoicing and e-way bill generation—ensure your data is well-prepared. This includes organizing all relevant details in the first template. Proper data preparation is critical for a smooth document creation process.

Input Document Details

To generate documents, you'll need to provide specific details in the template:

- Document Date: Specify the date of the document. - Document Number: Enter the unique document number.

These details are mandatory for document generation.

By following these steps, you'll be ready to manage invoicing and e-way bill generation scenarios effectively, ensuring compliance and operational efficiency.

Choose the type of document you need to create. Options include Invoice, Credit Note, or Debit Note. Select the one that fits your requirements.

Go to the Supply Tab Code section. Here, you'll find categories like:

- B2B (Business to Business)

- SEZ With Payment or Without Payment.

- Export.

- Deemed Export

- B2C (Business to Consumer)

Select the appropriate category based on your transaction type.

Input the recipient's Legal Name. This should match the official name of the company you're invoicing.

Ensure all fields marked with a blue label and a red asterisk are filled out. These are mandatory for successful document creation.

Specify whether the items are goods or services by selecting the appropriate option from the dropdown menu. This classification is essential for accurate tax calculations.

For goods, enter the applicable HSN (Harmonized System of Nomenclature) or SAC (Service Accounting Code) code. These codes are mandatory for compliance with tax regulations.

Enter the quantity of each item being invoiced. This ensures that the invoice reflects the correct number of items.

Select the unit of measurement for the items. Multiple unique quantity codes (UQCs) are available. For example, in this case, 'numbers' has been selected. Choose the Unit that best represents the item.

Enter the GST rate. If you prefer, you can skip this step, as these details will be auto-computed once the data is processed.

Enter the IGST amount, if applicable. This is required for inter-state transactions. Specify the CGST amount. This is applicable for intra-state transactions and is calculated based on the taxable value.

Continue to input any applicable IGST amounts. Double-check the values to ensure accuracy.

Enter any applicable TCS (Tax Collected at Source) amounts or other charges in the respective line items. Ensure these values are accurate to avoid discrepancies.

Ensure the total value in INR is entered. This is a mandatory field. If you miss it, the system will calculate it based on the data provided, but it's better to input it manually for accuracy.

Determine if there is any reverse charge applicability. Set the option to Yes or leave it as No by default, depending on the transaction type.

To generate E-way bill Locate the E-way bill detailed Section.

Enter all the required transportation details to generate Part A and B of the E-Way Bill. This includes:

- Transporter ID: The unique identifier for the transporter. - Mode of Transportation: Specify whether it's by road, rail, air, or ship. - Distance in Kilometers: Enter the exact distance the goods will travel. - Transporter's Name: Provide the full name of the transporter. - Transportation Document Number: Include the document number associated with the transportation.

- Document Date: Ensure the date is accurate and matches the transportation schedule.

- Vehicle Number: Enter the registration number of the vehicle being used.

- Vehicle Type: Select the appropriate type of vehicle. Options are: - Regular: For standard vehicles.

- Over Dimensional: For vehicles carrying oversized goods.

Download the necessary files for data ingestion. These files are essential for processing and should be obtained from the appropriate source.

Select the file to import. Use the clear text options to locate and choose the correct file for upload.

Upload the file successfully. Ensure the upload process completes without errors.

Check the uploaded files for any errors or duplicate entries. This step ensures data accuracy and prevents processing issues.

Click Import and Proceed to ensure the data imported successfully.

Confirm that the invoice displays clearly with all affiliate details. Once verified, proceed to generate the invoice.
