GSTR 1 Data Preparation Using Clear Sales Template

Launch the Clear GST software from the Clear Compliance Cloud launchpad to access the dashboard of the Clear GST software.

Click on the GSTR1 option located under the Filing section.

Select the relevant GSTN from the dropdown menu.

Choose the return period by selecting the appropriate date.

Click on Continue to proceed to the next step.

Activate the GST by updating the GSTN credentials. If you choose to skip this step, click on Skip.

Click on Prepare Data to move forward to the data preparation options.

Check the Import file option that is already available for importing the data necessary for filing GSTR1.

Select the Clear sales template for downloading. Once you click on it, the template will download automatically.

Open the downloaded Clear sales template. Here, you'll find various headers. We'll focus on identifying which headers are essential and which are optional.

Review the invoice details section in the template. The first column is the document type code, where you specify the type of document, such as an invoice, credit note, or debit note.

Enter the document date. This should be the date on which the document or invoice was created.

Add the document number. This is a unique identifier for the document.

Although not mandatory, including the recipient's billing name is recommended.

If it's a B2B (business-to-business) transaction, enter the recipient's billing GSTN number. For B2C (business-to-consumer) transactions or those with foreign countries, this is not required.

Choose the place of supply from the dropdown menu. This helps in determining the applicable tax jurisdiction.

Note that the CGST Rate, SGST Rate, and IGST Rate amounts are important fields but do not require manual entry. When you import your Excel template, these values will be auto-calculated based on the taxable amount, GST rate, and place of supply.

From the beginning up to the GST rate, update all the headers that are mandatory or relevant for you. The CGST, SGST, and IGST rates or amounts will auto-calculate.

From the reason for issuing a credit note to the end, note that there are multiple headers available, but all are optional. Specify them only if certain criteria are applicable to your documents; otherwise, leave them blank.

If you need to specify a reason for issuing a credit note, select the reason from the drop-down menu.

If the note is for a pre-GST invoice, select 'Yes' if applicable.

If not applicable, you may leave it blank or specify this in the document.

If your document is a bill of supply, define it as 'Yes'.

Select the category—nil rated, exempted, or non-GST item—from the drop-down menu.

Determine if the section is applicable for your situation, specifically if you are exporting goods. If it applies, select Y; if not, leave it blank.

Review other available headers that are not required for GSTR1 filing but are provided for comprehensive record maintenance from an enterprise perspective.

Observe all the headers provided. If certain criteria apply to your documents, specify them under the respective headers. Otherwise, leave them blank.

For any doubts while preparing the data, refer to the explanation sheet provided. This will clarify which headers are mandatory and which are optional.

Prepare your data using the appropriate template. You can choose either the Clear Sales Template or the Government Template depending on your needs.

Click on Select a file to import and choose the Excel sheet from your system. Ensure the sheet has been properly selected.

Select the relevant GSTN number and the corresponding return period for your data.

Choose the template. Select Clear Tax Sales Template if you are using the Clear option. For government-related templates, select accordingly.

Click on Check File for errors and duplicates. This will help identify any discrepancies or errors in your data. Rectify any issues found before proceeding.

After corrections, click on Prepare Data. This action will process your data based on the previously ingested documents and prepare your entire GSTR-1 form automatically.

To view the documents you've processed, click on Data Overview.

For sales data, click on Sales and select the GSTN.

Select the relevant Return period for which you want to review the documents.

Review the documents ingested for the month. You can view all the documents processed during this period.

If you need to open or edit any specific document, you have the option to do so.

Check additional details like data ingestion history and delete history. If necessary, restore documents from this interface.
