The product provides standard templates in which invoice data can be entered and ingested into the product.
However, if you have a data file with required data but in your own format then you can create a custom ingestion template by mapping the file headers with standard templates and use this to ingest invoice data directly.
The following section explains how to get custom data ingestion mapping done.
Once you have added business, completed onboarding, and have the data file ready, please go to upload file section
In the upload section, please select whether you want to map purchase data or sales data
Click on the “Select a file to import” button to choose a file from your system to ingest.
If you do not have the template, you can download the B2B and B2C template using the download option in the bottom right corner
You can ingest the file that contains the required headers to be mapped with the standard template using the import flow as explained in the earlier section
In the template selection dropdown, select “Create Custom Template” option and click on “Check file for errors & duplicates”
The file is processed, the processing may take some time depending on the file size
Once the file is processed and ingested, the custom mapper screen is displayed, in which you can see the column header name from the standard template.
Map the column header in the standard template with the corresponding column header in the file ingested. Make sure that correct headers are mapped. You can also search the required header using the search bar. Bar at the top of the table shows the number of fields - required, mapped, unmapped.
The required headers are highlighted in red. All the required headers need to be mapped, then only the template can be saved. Once all the desired headers from the files have been mapped, you can save the template by clicking on the “Save template” button. Auto filled template name is shown which can be changed if required.
The newly created custom template is saved and the ingestion process continues with running the validation on the invoice file and checking duplicates.
This mapped template will now be visible under the templates section once the mapping is done for any future ingestion. You can select this template to upload data in this format going forward
You can create a custom ingestion template during the ingestion and directly from the settings section as well.
Go to settings section - you can find it towards the bottom left side on the menu
Select the type of template you want to create from the Template dropdown, whether it is for B2B or B2C
Select the business (TIN) for which this template is to be created. The created template would be available only for the selected business
All the created custom templates will be shown in the table along with other details for the template. You can edit the template by clicking on “Edit” under actions. If you want to delete the template, click on 3 dots on the right side of actions and select “Delete template”.
You can click on “Create Template” and follow the steps mentioned in the “Custom data mapping as part of Ingestion workflow” section to create a new template.
Apart from the required fields that are allowed by the government, if you wish to pass additional fields in the invoice data during ingestion, you can set up custom fields using this setting.
The custom fields set up for a template and business will be checked during data import. Only the fields part of standard/custom ingestion template or custom fields will be ingested on the product
Steps to create custom fields -
Select the type of template for which you want to add the custom fields from the Template dropdown, whether it is for B2B or B2C
Select the business (TIN) for which this template is to be created. The created custom field would be available only for the selected business
You can set up line level and document level custom fields. Enter the header name of the custom field column under the “Label for custom field” and click on save.
By default 5 custom fields are shown, more can be added by clicking on “Add new custom field”. For deleting a custom field, click on 3 dots under actions and click on “Delete custom fields”
