IMS vs Purchase register reconciliation

This tutorial will guide you through reconciling your IMS data with PR data on the GST portal using IMS. By following these steps, you'll ensure accurate data alignment and effectively address any discrepancies.

Go to the GST portal to start reconciling your IMS data with PR data.

In the Reconciliation section, click see all or navigate to Reconciliation from the left-side menu.

After selecting Reconciliation, go to IMS vs Purchase Register reconciliation.

To run the reconciliation, click Actions and then select Run Recon Again.

To view the last reconciliation, click the View button.

When running the reconciliation, select the business and the return period for the purchase register. Note that IMS doesn't highlight specific return periods as it doesn't follow this concept.

Click Download IMS data. If your GSTNs aren't connected, connect them by entering your user ID, password, and authenticating via OTP.

Download the data. Remember, you're allowed to download the data twice a day before the limit resets.

Select Import Purchase Register. Integrated customers with a previously uploaded purchase register don't need to upload it again. This step is for those who haven't uploaded their purchase register for the period.

Click Get IMS Section Recommendation to access the IMS summary. This provides a complete view of the documents available on your IMS permit portals.

Enter the desired action for a specific document number in an Excel sheet.

Upload the updated Excel file back into the platform.

Use the Matching Key column to filter documents across various parameters. This feature helps manage documents from different vendors or with different identifiers without confusion.

Copy a matching key, then go to Filters to narrow your search to a specific document number based on the matching key.

Use other filtering options to check parameters like the IMS Action Clear Platform, IMS Action Government Platform, and the upload status of a document on the government platform.

Upload the document to the government portal. The platform will display the upload status, indicating whether the upload has failed, is processing, has been successfully uploaded, or hasn't been uploaded due to errors.

If there are errors, download the error report. Check the first two columns of the report to identify the error and determine the necessary steps to resolve it.

Access the Recommended Actions view, which is divided into two sections: Actioned Documents and Non-Actioned Documents.

In the "Actioned Documents" section, you'll find documents on which actions have already been taken.

Documents in other subcategories can be viewed by clicking the relevant dropdown arrows to access those specific documents.


This guide will help you explore and manage document details effectively. By following these steps, you'll understand how to view, categorize, and take actions on documents within the system.


Step 1: Click View Documents to explore the available documents.


Step 2: Locate original B2B credit notes and other document types.


Step 3: For removed IMS documents, click to identify their category. You'll see details like whether they're filed, accepted by a vendor, rejected, or pending.


Step 4: Review the recommended actions for specific document categories. The system might suggest taking a pending action.


Step 5: To modify the recommended action, open the dropdown menu.


Step 6: Choose your preferred action from the dropdown.


Step 7: Once selected, the chosen action will be applied.


Step 8: If you don't want to act on certain documents, click Do Not Take Any Action.


Step 9: By selecting this option, no action will be taken on the documents.


Step 10: Over time, the system will remember your actions, enabling bulk actions for similar documents in the future.


Exploring Document Details

This tutorial walks you through viewing and understanding document details. By the end, you'll know how to access and interpret the information effectively.


Step 1: Click View Documents to dive deeper into the document details.


Step 2: Access insights similar to those in the Recommended Actions View.


Step 3: If no information is available, the system will clearly indicate it.
